International Society of Nurses in Genetics (ISONG)
Privacy Policy

Effective date: June 28, 2026

The International Society of Nurses in Genetics, Inc. (“ISONG,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information of our members, donors, event participants, and website visitors. This Privacy Policy explains what information we collect, how we use and protect it, and the choices and rights you have. ISONG is a nonprofit professional society incorporated in the State of Maryland; our administrative contact is 208 N Capitol Ave, 3rd Floor, Lansing, MI 48933, USA, email info@isong.org.

1. Information we collect

We collect only the information needed to operate the Society:

  • Information you provide: name; contact details (email, postal address, phone); professional information (credentials, employer, areas of practice); membership category; event registrations; donation details; and any information you submit through forms, surveys, or correspondence.
  • Payment information: when you pay dues, register for events, or donate, payment card details are collected and processed by our third-party payment processor. ISONG does not store full payment card numbers on its own systems.
  • Information collected automatically: standard website and usage data (e.g., IP address, browser type, pages visited) via our website platform and cookies (see Section 6).

2. How we use your information

We use personal information to: administer membership; process dues, donations, and event registrations; communicate about Society activities, the World Congress, newsletters, and member benefits; support committees and elections; respond to inquiries; maintain the members-only portal and directory; and meet legal, tax, and accounting obligations.

3. How we share information, and how we don’t

We do not sell, rent, or trade your personal information. We share it only:

  • with service providers (processors) who operate the Society’s platforms on our behalf, chiefly Wild Apricot (our membership and website platform, which acts as our data processor under its own Data Processing Agreement), our payment processor, our email and communications tools, and our association-management company, each bound to use the data only to provide their service to ISONG;
  • in the members-only directory, to the extent you have consented and according to your visibility settings;
  • when required by law or to protect the rights, safety, or property of ISONG, our members, or others.

4. Your rights and choices

You may request to access, correct, update, or delete your personal information, opt out of non-essential communications (every email includes an unsubscribe link), or update your member profile and visibility settings at any time. To exercise any of these, contact info@isong.org.

For individuals in the European Economic Area or the United Kingdom, applicable data-protection law gives you the rights to access, rectification, erasure, restriction of or objection to processing, and data portability, and to withdraw consent at any time. Where we rely on consent, withdrawing it does not affect processing already carried out. You also have the right to lodge a complaint with your local supervisory authority. ISONG will respond to verified requests within the timeframe required by applicable law.

5. Legal bases for processing (EEA/UK)

Where the GDPR or UK GDPR applies, we process personal data on the bases of: performance of your membership (contract); your consent (e.g., optional communications, directory listing); our legitimate interests in operating a professional society and serving our members; and compliance with legal obligations (e.g., tax and financial recordkeeping).

6. Cookies

Our website uses cookies that are essential for the site to function (e.g., login, security) and a limited set for analytics to understand site usage. You can control or delete cookies through your browser settings; disabling essential cookies may affect site functionality. We do not use cookies to sell your information.

7. International data transfers

ISONG is based in the United States, and our service providers store and process data in the United States. If you access our services from outside the United States, including from the EEA or UK, you understand that your information will be transferred to and processed in the United States, which may have different data-protection laws than your country. By using our services or joining ISONG, you consent to this transfer.

8. Data retention

We keep personal information only as long as needed for the purposes above: membership and contact information for the duration of your membership and up to two (2) years afterward (to support renewal and Society continuity); financial and transaction records for seven (7) years to meet tax and accounting requirements; and other information until it is no longer needed, after which it is deleted or anonymized. You may request earlier deletion (Section 4), subject to records we are legally required to retain.

9. Data security

We use reasonable administrative and technical safeguards to protect your information, including encrypted (HTTPS) transmission and the security controls provided by our membership platform. No method of transmission or storage is completely secure, but we work to protect your information and to address any incident promptly.

10. Children’s privacy

Our services are directed to nursing and genomics professionals and students and are not intended for children. We do not knowingly collect personal information from children under 16.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Effective date” above reflects the latest version, and material changes will be communicated through the website or to members directly.
